Job Description:
As the Office Administrator for Stiltz Homelifts, you will be responsible for managing the daily operations of the showroom, providing exceptional customer service, and supporting the team. This role involves administrative tasks, customer interactions, and coordination with various departments at Stiltz Headquarters to ensure the smooth functioning of the office. This role requires excellent organizational skills, attention to detail, and the ability to multitask effectively. You will serve as the primary point of contact for customers, suppliers, and other stakeholders, and will play a key role in supporting the business operations.
Responsibilities:
- Maintain accurate records of customer information, assist with the preparation and processing of sales orders, permits as needed, purchase orders and invoices, ensuring accuracy and completeness.
- Manage incoming calls, emails, inquiries, scheduling appointments, coordinating installations and managing customer expectations.
- Greet and assist customers as they enter the showroom, providing information about products and services.
- Coordinate and manage the permit acquisition process.
- Cultivate and maintain relationships with vendors.
- Coordinate with suppliers and vendors to order office supplies, equipment and materials as needed, and track inventory levels to ensure sufficient stock.
- Adhere to company policies and procedures, including those related to confidentiality, data security and safety.
- Prepare and distribute correspondence, reports and other documents as required, ensuring timely and accurate delivery.
Work Environment:
- Work primarily in a showroom setting, interaction with customers and staff.
- Regular business hours with occasional evening or weekend for special events or promotions.
- Collaborative team environment with a focus on delivering high-quality customer service.
Key Skills & Experience:
- Previous experience in an administrative role, preferably in a customer-facing or office management capacity.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook) and other office software applications.
- Strong communication, organizational and interpersonal skills, with the ability to interact professionally with customers, team members, vendors and other external stakeholders.
- Attention to detail and accuracy in data entry and record-keeping.
- Flexibility to adapt to changing priorities and work in a fast-paced environment.
